There is no doubt that modern technology has played a vital role in modifying our lifestyles. It has added 

a considerable factor of convenience to each and every industry. For Event Management and Planning, 

technology has also played a key role. With LED screens, High-Fidelity Surround Sound Systems, 

Synchronized lighting, etc, the quality of experience at each event has greatly enhanced. However, there 

are many other technological factors that assist in event planning. These include:

Event Management Software

Although not all event management companies use software for planning purposes. These programs 

add convenience for online registration, payment, venue selection, travel booking, hotel booking, etc. In 

crowded places, a company may also use software designed specifically for crowd control. 

Marketing Channels

In the old days, the primary marketing channels used to print ads, television, billboards, radio, etc. 

However, the internet and more recently smart phones have completely derailed marketing from 

conventional channels to digital platforms. In present times, word-of-mouth spreads faster than ever 

with applications such as Facebook, WhatsApp, Twitter, etc.

While planning an event, companies often use social media as the primary source of promoting an 

event. The advantages not only include online booking, but the targeted guests are also given the 

opportunity to look at pictures of similar events so they would know what they are signing up for. Such 

technologies have added convenience for guests as they never have to worry about losing information.

Furthermore, internet channels, computers and smart phones have made it easier for people to 

communicate with the planning authorities to get answers for any queries that they might have. With 

reduced cost, technology has enabled planning companies to cater a much wider audience.

Virtual Presence

It is not possible for everyone to be present at every desired event. Also, events do not always include 

dance parties and weddings only. For corporate events and conferences, technology has provided 

a virtual platform through which guests can attend an event despite being at home. Of course, it 

depends on the planner whether to keep the virtual engagement for free or at a particular price. With 

technologies provided by services such as Telenect, Omnovia and Webex, people do not have to lose much.

Live Broadcasting 

Although live broadcasting has been around for a while, it was previously specific for sports games, 

Olympics and other similar activities. However, with technology the access to live broadcasting has 

considerable expanded. Depending on whether the event is personal or private, event planners can 

choose to broadcast the event live on websites such as YouTube. For instance, at a wedding ceremony, 

there may be particular friends and family who are unable to participate. With the facility of live 

broadcasting, event planners could take the wedding to guests in even the most remote places.

Audience Response

At most events, planners often have to keep a look out to ensure all the guests are provided with 

facilities up to their satisfaction. Technology eases up the job for them with Audience Response Systems. 

Even though, internet is usually desired to be available at most events, an Audience Response System 

(ARS) could be developed as an app or a website where guests could lodge complaints, leave their 

compliments, etc.

With the growth in technology, planners would hopefully be able to arrange even better and bigger 

events.
